Regional Assistant - Job Description

Position Summary:

This position supports the Regional Managers for three regions and helps the Community Managers performing the day to day operations for a portfolio of manufactured home communities and the planning and execution of activities associated with the maintenance of the communities to meet quality standards set by the Company. This includes conducting follow-up training and coaching with the community staff in areas pertaining to the daily operation of the communities, as well as acting as a liaison with other departments in the Company and with outside vendors.

Technical Skills:

General Job Duties – Technical Knowledge / Expertise

Typical duties include transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data and graphics in order to track results and monitor progress on key projects and initiatives. This includes but is not limited to invoice processing, purchase card audits and other audit reports, safety surveys, assisting with budgets, monthly financial reports, collecting sales data, conducting market surveys for rent increases, operations reporting, payroll reporting and A/P tracking.

Specific Job Duties:

  • Verifies all Community Managers have submitted expense and credit card reports with the appropriate receipts and ensures coding is accurate
  • Assists in the development of community budgets and business plans
  • Coordinates the approval process for invoices and capital expenditures requests; tracks requests and expenditures to ensure alignment with budget
  • Assists with resolving unusual resident problems, as well as with community related emergencies
  • Standardizes new move in forms and prepares for loading into Manage America by community
  • Standardizes collection letters and prepares for loading into Manage America
  • Performs on-line training for new users on the Back Office software platform
  • Administers and audits Back Office exception reports to identify differences between BO and MA, capex reallocations and ensure timelines and delivery and completions dates
  • Assists Regional Managers in tracking progress of vacancy site checklists (VSC) and reviews, site preparation, home requests, construction requests and new home orders
  • Works with Regional Managers to submit, review and audit the status of new home orders
  • Prepares employee housing agreements and updates annually
  • Reviews, approves and processes payment agreements with the residents (PAG’s)
  • Reviews and approves requests for charges and credits
  • Provides support for Manage America administration, auditing, and reporting
  • Conducts monthly utility programming for properties that require manual entry
  • Provides Key Bank training to community managers
  • Handles trash invoice management for all communities and new acquisitions
  • Sends master meter billings to Manage America as requested
  • Analyzes utility variances
  • Performs title status checks in Snickfish for community managers
  • Answers questions, explains policies and procedures, shares information and encourages open communication within the communities
  • Performs other duties as assigned or apparent

Education, Knowledge, Skills and Abilities:

  • High School diploma or equivalent is required, Associates degree or BA is a plus
  • Three to five years of administrative assistance experience preferably in the Manufactured Homes or similar industry
  • Strong organizational skills are required to plan and schedule meetings, conferences, teleconferences
  • Excellent analytical skills are required to break down problems and gather information from multiple sources and organize information for analysis
  • Must be able to multi-task and have a high degree of self-control to maintain a composed, problem solving approach when faced with controversial issues and pressing time demands
  • Must be a team player with superior customer service skills
  • Strong written and oral communication is required to clearly express ideas, information or concerns
  • Must be able to develop relationships, credibility and rapport and relate to others in an honest and straight forward manner while incorporating cooperation, trust and respect
  • Adaptability is required to deal with changes in situations, direction or difficult customers
  • Must have a high level of integrity to handle confidential information
  • Must have a valid driver’s license and be authorized to work in the United States

Physical Requirements:

In the performance of this job, the employee will be required to sit, use hands and fingers, or feel objects or tools or controls, talk and listen to hear. The employee will also be required to stand, walk, reach and lift objects with hands and arms.
